Contacts

Introduction

View all your customer conversations and additional context in one place. The Contacts hub aggregates every call with a person, past interactions, and includes access to AskElephants powerful integrations, all so you can understand the customer and organize data that powers your automations. Walk into conversations prepared and never miss an upsell opportunity.

AskElephant automatically creates contact records when new people join your meetings, contacts can also be added manually.

What You'll See

Contacts List

  • Search bar to find contacts by name or email

  • Create New Contact button (top-right) to manually add someone

  • Edit button on each contact to update their information

  • Company association shown for each contact

Contact Page (When You Click Into One)

Left side:

  • Conversation window to ask questions about the contact

  • All their meetings listed chronologically

  • Upcoming calls scheduled with this contact

  • Previous chats about this contact

  • Action items related to them

Right side:

  • Contact details (name, email, phone, company)

  • All meetings they participated in

  • Upcoming calendar events with them

How It Works

Automatic Contact Creation

When someone new joins a meeting:

  1. AskElephant extracts their name, email, and company

  2. A contact record is automatically created

  3. All future meetings with them link to that contact

  4. Their profile builds over time as you interact more

Example: Jamis from Acme joins a meeting. AskElephant creates his contact, captures his email, and links him to Acme company.

Manual Contact Creation

  1. Click Create New Contact (top-right)

  2. Enter their name and email

  3. Add phone number (optional)

  4. Select or create their company

  5. Click save

Edit a Contact

  1. Find the contact in the list

  2. Click Edit

  3. Update name, email, phone, or company

  4. Save changes

Using a Contact Page

Find a Contact

  1. Use the search bar to find them by name or email

  2. Click to open their contact page

Understand the Contact

Ask the AI questions like:

  • "Tell me about this contact's personality and communication style"

  • "What are their main priorities based on our past calls?"

  • "How engaged has this person been with us?"

The AI analyzes all their meetings and gives you insights about their personality, priorities, and communication patterns.

Review Their Meeting History

On the right side, you'll see all meetings they attended. Click any meeting card to jump to that full meeting page.

Prepare for a Call

Before meeting with them:

  1. Open their contact page

  2. Ask: "What should I know before meeting with this contact?"

  3. Review their recent meetings

  4. Check any previous chats about them

Manage Multiple Emails

If a contact has multiple email addresses (like a personal email and work email):

  1. Open their contact page

  2. Click Edit

  3. Add the additional email address

  4. Delete the duplicate contact entry

  5. All their meetings now link to one unified profile

From a contact page to a meeting:

  • Click any meeting card on the right side

  • You'll navigate directly to that full meeting page

From a meeting to a contact:

  • In any meeting, find the attendee names at the top

  • Click a name to go to their contact page

  • You'll see all your interactions with that person

Key Features

Complete Meeting History: Every call where this contact participated is linked to their profile—automatic and comprehensive.

AI Personality Analysis: Ask the AI about their communication style, priorities, and preferences based on past interactions.

Conversation Memory: All your chats about a contact are saved, so you can refer back to previous insights.

Meeting Integration: Seamless navigation between this contact's profile and individual meetings.

Quick Tips

  • Ask specific questions: Instead of "Tell me about them," try "What objections do they usually raise?"

  • Reference specific meetings: Say "Based on the November call with this contact..." for more targeted analysis

  • Build over time: The more you interact and use the contact page, the better insights the AI develops

  • Consolidate early: If you notice a contact has multiple email addresses, consolidate them right away to keep their profile unified

  • Check before meetings: Spend 2-3 minutes reviewing a contact's page before important calls

Common Scenarios

Preparing for a First Call:

  • Open their contact page

  • Ask: "What should I know about this contact?"

  • Review any previous meetings they had with your team

  • Check their company information

Taking Over a Relationship:

  • Open the contact page

  • Ask: "Give me a complete summary of our relationship with this contact"

  • Review their communication style and preferences

  • Check upcoming meetings

Understanding Why a Deal Stalled:

  • Open the contact page

  • Review their recent meetings

  • Ask: "Based on our interactions, what are their main concerns?"

  • Look for patterns in what they've mentioned
