Chats & Conversations

Introduction

Ask questions about your meetings and get instant answers. Chat connects to your meeting data so you can search conversations, analyze customer needs, and run workflows without leaving the engagement you're viewing.

Key Terms

  • Chat interface — a text-based conversation space where you type questions and receive AI-powered answers.

  • LLM (large language model) — the AI engine powering the conversation.

  • Agents — integrations that connect Chat to your existing business software (HubSpot, Notion, Monday, Linear, and others).

  • Personal context — custom preferences you set about yourself and your work style that the AI uses to tailor its responses.

  • Workflow — a pre-built automation or multi-step process. You can run workflows directly from Chat.

Where Chat Appears

Chat shows up in five places across the platform, each with different context:

  1. Standalone Chat (from the top navigation bar) — an open-ended space where you can ask about anything: meetings, documents, general questions, or external research.

  2. Meeting Chat — when you click into a specific meeting, Chat is pre-loaded with that meeting's transcript.

  3. Company Chat — when viewing a company page, Chat has access to all meetings associated with that company.

  4. Contact Chat — when viewing a specific contact, Chat can reference interactions with that individual.

  5. Search Chat — after filtering meetings across multiple companies and contacts, you can open a Chat with all those meetings at once.

The Chat Interface

When you open Chat, you'll see:

  • Left panel — a list of your past conversations. You can pin frequently used chats for quick access.

  • Main content area — the text box where you type your questions or requests.

  • Bottom toolbar — controls for how Chat works:

    • + button — attach meetings, upload documents, or run workflows.

    • Tools — toggle integrations (HubSpot, web search, Notion, and others) on or off.

    • Model selection — choose which LLM powers your conversation.

    • Enhanced prompt — let the AI improve your question before sending.

    • Ask button — send your question (or press Enter).

Tools and Agents

Tools and agents connect Chat to the platforms where your business data lives. When you toggle a tool on, the AI can search those spaces and pull relevant information into your conversation.

Common tools and agents include:

  • HubSpot Agent — search deals, opportunities, and company data.

  • Web search — access current information from the internet.

  • Notion Agent — create or reference pages and databases.

  • Monday / Asana — pull information about active projects and team tasks.

  • Linear — query bug reports and development updates.

Example: You just closed a deal with a major client and want the HubSpot details:

  1. Open Chat.

  2. Click Tools and toggle on HubSpot Agent.

  3. Type: "Tell me about the Lincoln Motors deal I just closed."

  4. Chat searches HubSpot and returns a summary in the conversation.

Attach Meetings and Documents

You don't need to copy meeting details by hand.

  1. Click the + button and select Attach meetings.

  2. Search for the meeting(s) you want to reference.

  3. Select one or multiple meetings — Chat now has their transcripts as context.

You can also upload documents (PDF, Word, Excel, PowerPoint) directly into Chat when you want the AI to analyze a proposal, compare files, or extract specific information.

Example: Spotting Churn Risk

Your last meeting with a customer felt different and you're not sure what shifted.

  1. Open the company's page and open Chat.

  2. Chat automatically has all meetings with that company as context.

  3. Ask: "The energy felt different in our last meeting. Can you analyze recent calls and identify what changed?"

  4. Chat reads through the transcripts and surfaces shifts in tone, unresolved concerns, or topics that dropped off.

Personal Context

Personal context tells the AI about you and how you prefer to work. The more the AI knows about your style, the better it tailors responses.

  1. Click your name in the top-right corner.

  2. Select Preferences.

  3. Add details under Personal context. Examples:

    • "I'm in sales development and prefer direct, fact-based answers without fluff."

    • "I'm customer-success focused and want answers tailored to account health."

    • "I'm revenue-driven and want insights related to deal impact."

Run Workflows From Chat

For workflows you run occasionally — not daily — you can trigger them right from Chat:

  1. Click the + button and select Run workflow.

  2. Choose the workflow.

  3. Chat runs it and reports back with results.

This works for tasks like sending a summary email of all company meetings or updating CRM records based on insights.

Sharing Chat Externally

When you share a meeting with someone outside your workspace, they gain access to Chat for that meeting as well. External viewers can:

  • View the meeting transcript.

  • Ask questions about the meeting.

  • Get summaries and action items.

  • See attendee information.

External viewers have limited functionality — they can't run workflows — but they can still interact with the meeting through Chat.

Chat vs. Workflows

Both Chat and workflows are core to how you work in AskElephant, but they're suited to different jobs.

Chat is conversational and flexible. Best for exploring, analyzing, and discovery. You guide the conversation.

Workflows are structured and repeatable. Best for automation and consistent processes. They run on a schedule or trigger.

Use them together: explore insights with Chat, then automate the recurring actions with workflows.

Troubleshooting

"Go to Chat" Button Doesn't Work

If clicking Go to chat doesn't navigate you anywhere, try:

  1. Refreshing the page and clicking again.

  2. Clearing your browser cache and cookies.

  3. Opening in an incognito/private window or a different browser.

This is a known intermittent issue; the steps above usually resolve it.

"Your Conversation Is Ready to View" Goes Nowhere

If you get a "Your conversation is ready to view" notification but clicking View doesn't load a response, the system is usually still processing. Wait a minute or two and refresh the page — the response typically appears once processing completes.

Chat Looks Like It Never Finished

If a Chat appears stuck loading on your end but the system shows it as completed, it's usually a display sync issue. Refresh the page, or open the conversation in a different browser tab.

When to Contact Support

If any of these issues persist or block your work, reach out to support with:

  • A link to the specific chat you're having trouble with.

  • What you were doing when the issue started.

  • Screenshots or a short screen recording if you have them.
