Meeting Recap at the Workspace Level

Introduction

Meeting recap automatically sends recap emails to external meeting attendees after a call. Owners can control this at the workspace level, which overrides individual user preferences.

What Workspace-Level Control Does

As an Owner, you can:

  • Turn off Meeting Share for every user in your workspace.

  • Make it opt-in instead of opt-out across the organization.

  • Enforce a consistent external-communication policy for your team.

Workspace-level settings override individual user settings — so if you turn Meeting Share off at the workspace level, users can't re-enable it for themselves.

How to Change Workspace-Level Settings

Workspace-level Meeting Share settings are adjusted by the AskElephant team. To change them:

  1. Contact your Customer Success Manager, or reach out to support.

  2. Tell us what you want the workspace default to be (off / opt-in / opt-out).

Most changes process within one business day.

Individual User Settings

When Meeting Share is available at the user level, each person can choose:

  • No meetings — completely disabled.

  • Internal meetings only — recaps sent for internal meetings only.

  • External meetings only — recaps sent for external meetings only.

  • All meetings — recaps sent for every meeting.

When automatic sending is on, recaps go to all participants in the selected category — not just the user who owns the setting. For example, Internal meetings only sends to every internal participant on the meeting.

If you want to preview or customize a recap before it goes out, turn off automatic sending in your recap preferences, then use the Recap Email action from the meeting page to generate and copy the recap manually.

Common Reasons to Disable Workspace-Wide

Many teams disable Meeting Share at the workspace level because they:

  • Want to review meeting summaries before anything is sent externally.

  • Have compliance or regulatory requirements on external communications.

  • Use their own branded templates for customer follow-ups.

  • Need human-verified accuracy on action items and meeting details.

Data Privacy

AskElephant does not use your meeting data for marketing, sales, or any purpose beyond providing the service. Recap content stays private and is only delivered to the recipients you configure.
