Accessing Recordings from Former Employees
Introduction
When someone leaves your organization, their AskElephant recordings don't disappear — but access to them depends on whether each meeting was public or private. Here's what stays accessible and what doesn't.
Public Meetings Stay Accessible
If a meeting was marked public (the default for most workspaces), it remains in your workspace after the user is deactivated. As an Owner or Manager, you can still find and review it.
To locate recordings from a former team member:
Go to
My Meetingsand filter or search by participant name, title, or date.Open the
Customerstab under Contacts to find meetings tied to specific clients — this surfaces every meeting you have access to for that contact.
Private Meetings Have Limited Access
Private meetings are only visible to:
The meeting owner.
Invited participants or attendees.
If a former employee marked a meeting private and no other teammate was added, that meeting stays inaccessible after they leave. AskElephant does not offer a bulk privacy override for security reasons.
Before Someone Leaves
If you know a team member is departing and you'll need access to their meetings, the cleanest path is proactive:
Ask them to mark any meetings you'll need as public.
Or ask them to add you as an attendee on any private meetings you should be able to access.
After Someone Leaves
If they've already been deactivated:
Ask other teammates who were on the same private meetings — they can add you as an attendee, which gives you access.
For public meetings, use search as described above.
For private meetings where no other teammate was included, the recording will remain inaccessible.
