Weekly Workflow: Meeting Prep

Overview

Before every scheduled meeting, AskElephant automatically gathers the most relevant deal and company context from your CRM and the web, then delivers a quick, clear meeting brief so you walk in informed and focused. A short video walkthrough is available for setup.

Key Terms

  • Workflow: An automated sequence of actions that runs when a specific event occurs (also called a "recipe")

  • Trigger: The event that starts the workflow—in this case, a calendar event starting soon

  • Conditional Prompt: An AI decision point that decides whether the workflow continues (for example, "only run if there's at least one external attendee")

  • CRM: Your customer relationship management system (HubSpot, Salesforce, or none) used to pull deal and company context

What This Workflow Does

Ahead of each meeting, the workflow pulls together everything you need to know about the account. It looks at:

  • Recent deal activity and meeting history in your CRM or past calls

  • Company snapshots from LinkedIn and the web

  • Engagement data, current deal stage, and opportunities

In 2-3 minutes, a prep summary is ready and delivered to Slack, email, or directly inside AskElephant.

How to Set It Up

Step 1: Navigate to Recipes

  • Log into AskElephant and click Automations in the left sidebar navigation.

  • In the Workflows tab click New Workflow

  • Select From Recipe

Step 2: Find the Workflow

Search for Meeting Prep in the recipes library.

Step 3: Choose your CRM Version

Select the version that matches your setup: HubSpot, Salesforce, or No CRM.

Step 4: Configure the Trigger

  • In the Calendar Event Started trigger, set it to run 30 minutes before your meetings

  • Select whose calendars the workflow should monitor (yourself or your team)

Step 5: Review the Conditional Prompt

Open the Conditional Prompt node to confirm it checks for external attendees and gathers the context you need. Adjust the prompt text if you want different logic.

Step 6: Pick your Output Destination

Customize how you want the prep delivered: Slack DM, Slack channel, or email.

Step 7: Enable the Workflow

  • Click the three dots in the top right of the workflow bar

  • Select Activate Workflow to turn it on for your workspace
