RingCentral

Overview

Connect RingCentral to AskElephant to automatically bring your phone call recordings in for AI transcription, summaries, signals, and analysis. RingCentral is an import-only connection: it pulls your call recordings into AskElephant and matches them to the right people, but it does not make calls, change RingCentral settings, or send anything back to RingCentral.

Once a call is imported, it appears in AskElephant like any other meeting, with a transcript and summary you can search, review, and use in Workflows through the standard meeting triggers.

Before You Begin

  • You need the workspace owner role in AskElephant to set up the workspace connection.

  • You need administrator access to your RingCentral account.

  • Call recording must be enabled in RingCentral. AskElephant can only import calls that have a recording attached.

How to Connect

Workspace connection

  1. Sign in as a workspace owner.

  2. Click your workspace name, then open Workspace Settings → Integrations.

  3. Find RingCentral and click Connect.

  4. Sign in to RingCentral and review the access it requests (reading your account, call log, call recordings, presence, and contacts). These let AskElephant find and match your recorded calls.

  5. Click Authorize. You'll return to AskElephant and RingCentral will show as connected.

Automatic imports begin within a few minutes of connecting.

Personal connection (optional)

Any user can connect their own RingCentral account. Click your name in the top-right corner, then open Preferences → Connected accounts and connect RingCentral.

What Gets Imported

AskElephant imports a call when all of these are true:

  • The call has a recording in RingCentral.

  • At least one person on the call matches a user in your AskElephant workspace (by phone number or email).

  • The call meets the minimum length, if your workspace has set one.

The following are not imported: calls without recordings, calls where no participant matches a workspace user, voicemails, faxes, and text messages. Conference calls with three or more people are brought in as two-party calls (usually the host plus the main participant).

Imported calls are named automatically using the pattern RingCentral Call - [Direction] - [From] to [To], for example RingCentral Call - Outbound - +14155551234 to +14085559876. You can rename a call, add notes, and tag it after it's imported.

Make Sure Your Calls Import

RingCentral matches calls to people by phone number and email, so a call only comes in if it's tied to someone in your workspace. To make sure your calls are captured:

  • Add your RingCentral numbers (desk, mobile, and extension) to your AskElephant profile.

  • Use the full international format, for example +14155551234.

  • Confirm call recording is turned on for your extension in RingCentral.

What Happens After You Connect

  • New calls with recordings import automatically on a regular schedule.

  • A call usually becomes available in AskElephant within about 10 to 15 minutes of ending, depending on its length and how long RingCentral takes to prepare the recording.

  • Each imported call is transcribed and analyzed like any other meeting.

Filtering Out Short Calls

If quick dials and misdials are cluttering your imports, AskElephant can set a minimum call length (for example, 30 seconds) so only meaningful conversations come in. This is set up by our team, so contact support if you'd like it turned on. It applies to new imports only.

Importing Historical Calls

The connection brings in new calls going forward. If you need older RingCentral calls imported, contact the AskElephant team and we'll help plan the import. See Importing Call Recordings into AskElephant for the other ways to bring recordings in.

Troubleshooting

No calls are importing. This is almost always one of two things: your phone number isn't on your AskElephant profile, or call recording isn't enabled in RingCentral. Add your RingCentral numbers to your profile and confirm recording is on for your extension, then wait a few minutes for the next import.

Some calls import but others don't. A call is skipped if it has no recording, doesn't involve a workspace user, or falls under the minimum length. Check the missing call in RingCentral to confirm it has a playable recording.

A Reconnect button appears. Your RingCentral sign-in expired, which can automatically disconnect the integration. Click Reconnect and authorize access again to restore imports. This can also happen after a RingCentral password change.

A call shows the wrong person or "Unknown". Matching relies on phone numbers and emails. Add the person's number to their AskElephant profile or contact record in the full international format, and set work emails on your RingCentral user extensions.

A recording isn't available. RingCentral may still be preparing it. Wait 5 to 10 minutes after the call ends. If it still isn't playable in RingCentral, it can't be imported.
