Overview
AskElephant makes it easy to automate your work by using a core set of workflow nodes—versatile building blocks that connect your meetings, conversations, contacts, AI insights, and actions. By learning how these nodes work together, you can streamline repetitive tasks, make handovers smoother, and ensure important information lands in the right hands, every time.
Whether you’re just beginning with workflows or refining your team’s processes, this article will guide you through how the core nodes interconnect and offer best practices and real-world tips for getting the most out of AskElephant.
The Core Nodes: Building Blocks for Powerful Workflows
AskElephant’s core nodes are designed to work together, allowing you to construct workflows that fit your unique business needs. Here’s how each group of nodes fits into the bigger picture, along with the important nodes in each category:
Conversation Nodes
Purpose: Create smart conversations with AI that are attached to meetings, people, or companies.
How They Connect: Use these nodes to kick off an AI-powered dialog in context, then add more information or automate insights as the workflow evolves.
Node Name | Description |
Create Conversation | Starts an AI conversation linked to a meeting, contact, company, or knowledge base object. |
Send Message to Conversation | Sends an AI prompt or message into an existing conversation and gets results. |
Attach Documents to Conversation | Attaches meetings, documents, or events to a conversation for richer AI context. |
Tip: Use the “pin” option in Conversation Nodes if certain prompts or discussions need extra visibility.
Prompt Nodes
Purpose: Ask AI to perform specific tasks, analyze data, filter lists, or process information in bulk.
How They Connect: Pull in conversation or meeting data, apply a prompt for analysis, and route the results to emails, notifications, or other nodes.
Node Name | Description |
Run Prompt | Gets AI to complete a custom prompt for quick insights or drafting. |
Conditional Prompt | Uses AI to determine if the workflow should continue or stop, based on set criteria. |
Filter Prompt | Filters a list of meetings, contacts, companies, or events according to your criteria. |
Loop Prompt | Runs the same AI prompt on each item in a list, collecting all the results for analysis. |
Meeting Nodes
Purpose: Search, filter, or tag meetings and calls for granular control over the context used in your automation.
How They Connect: Filter the meeting data you need, connect it to a prompt or conversation, and ensure only the most relevant info powers your workflow.
Node Name | Description |
Search Past Meetings | Finds past meetings, calls, or documents by date, attendee, tag, or other criteria. |
Tag Meeting | Tags a meeting for easy searching and organization based on custom categories or topics. |
Note: Meeting nodes can include calls and documents—not just video conferences—giving your workflows deeper context.
Send Nodes
Purpose: Notify people, send emails, or trigger integrations with other applications.
How They Connect: Deliver results, insights, or alerts generated by earlier nodes so the right people or systems are always up to date.
Node Name | Description |
Send Notification | Sends alerts to users via Slack or email, based on preferences and workflow configuration. |
Send Email | Sends emails with control over recipients, CC/BCC, and message content. |
Send Webhook | Triggers an HTTP request to another app or API for advanced integrations. |
Search People Node
Purpose: Find and include the right people in your workflow, based on group or individual selection.
How They Connect: Bring the right contact information into play for notifications, meeting summaries, or workflow branching.
Node Name | Description |
Search People | Pulls contact info for individuals or groups in your workspace for use in workflow actions. |
Getting Started: Your First Connected Workflow
- Plan Your Outcome
- Create a Workflow
- Navigate to the Workflows section in AskElephant.
- Click the “Add Workflow” button.
- Add Core Nodes
- Drag and drop nodes in the order you want them executed. Example: search meetings → analyze with a prompt → notify the team.
- Use descriptions and titles for each node to keep your workflow organized.
- Configure Each Node
- Select objects, contacts, or criteria through easy picklists.
- Link outputs from one node into the next.
- Save after each step.
- Test and Tweak
- Run your workflow in a test scenario.
- Adjust filters, messages, or connections until your automation behaves as expected.
Start by asking, "What do I want to automate?"—like distributing meeting notes or tagging follow-ups.
Note: To reference an output from a previous node type {{. This will bring up a menu of all available output variables from your previous nodes.
Editing and Deleting Nodes
- Edit Node Name:
- Delete a Node:
Click on the pencil next to your Nodes title at the top of the workflow builder. Type your new name and press Enter to save.
Locate your node in the workflow. Click the three dots (⋮) next to the node name and select “Delete.”
Note: If you delete a node by mistake, hit undo in the workflow mini bar to revert.
Common Use Cases
Use Case | How Core Nodes Interconnect |
Automated Meeting Summaries | Search past meetings → Run prompt for summary → Send email |
Tagging and Categorizing Calls | Search meetings → Tag meeting node |
Team Notifications for Updates | Prompt node for action items → Send notification node |
Gathering Sales Insights | Search meetings & people → Run AI analysis prompt |
Handoffs Between Teams | Attach docs to conversation → Notify next owner by email |
Personalized Follow-ups | Search people → Run prompt for tailored suggestions → Email |
Best Practices & Troubleshooting
Best Practices:
- Consistently name your nodes and workflows for clarity (e.g., “Q1 Client Follow-up Automation”).
- Use the Loop Prompt or Filter Meetings to reduce strain on your AI model and pull insights that are truly relevant.
- Use Create Conversation, Attach Documents to Conversation, and Send Message to Conversation in tandem. The best results are built on the right context in the right place.
- Use recipes to mimic workflows and build off tried and true workflows.
- Keep prompts clean & consistent. Use AskElephant chat to simplify prompts and check grammar, logic, and over all prompt health.
Troubleshooting:
- If your workflow stalls, review the sequence—most issues are due to misordered nodes or an output missing its connection.
- Double check referenced variables and prompt instructions.
- If you need additional help don’t hesitate to reach out to AskElephant Support by clicking the support chat button in the bottom left of the AskElephant interface or by emailing support@askelephant.ai
