Groups

Overview

Groups are a straightforward way to organize the people in your AskElephant workspace by department, function, or any structure that makes sense for your business. Once you set up groups, you can use them to run targeted workflows, filter meetings, and keep your workspace aligned with how your company actually works.

Think of groups as a filing system for your team—they help you apply the right processes to the right people, every time.

Setting Up and Managing Groups

How to Access Groups

Only workspace owners and managers can create and manage groups. Here's how to get started:

  1. Click your name in the bottom left corner of your workspace
  2. Select Team from the menu that appears
  3. Click the Groups tab to view all current groups

Creating and Editing a Group

From the Groups tab, you'll see a list of all existing groups along with their managers and members. To edit any group:

  1. Click the three dots (...) on the right side of the group
  2. Select Edit
  3. Update any of the following:
    • Group name
    • Group description
    • Members (add or remove team members)
    • Manager (designate who oversees the group)
  4. Click Update to save your changes

Removing a Group

If you no longer need a group:

  1. Click the three dots (...) on the right side of the group
  2. Select Remove

Important: Removing a group deletes it entirely and disconnects it from any workflows that reference it. Those workflows will no longer be able to target that group.

Types of Groups You Can Create

The number and type of groups you set up depends on your organization's structure. Common examples include:

  • Sales or Revenue Team
  • Customer Success
  • Product or Development
  • Marketing or Design
  • Operations, Legal, or HR
  • Post-Sales or Support

You can create as many groups as you need. If you end up with many groups, use the search function at the top of the Groups page to find them by name.

What You Can Do With Groups

Once your groups are in place, they unlock several powerful features:

Filter Meetings by Group

When you're in the Engagements section, you can filter meetings to view only those involving specific groups. You can select one or multiple groups at once to narrow down your view.

Run Targeted Workflows

Instead of running workflows for everyone in your workspace, you can configure them to run only for specific groups. You can even set up different workflow steps or "branches" for different groups meaning the same workflow can behave differently depending on which group it's running for.

Organize Your Workspace

Groups keep everything organized according to your company's structure, making it easier for your team to find the right information and processes.

Important Note

Groups only include internal team members. External contacts and companies you work with won't be added to groups—they exist separately in your workspace.
