Tools: Getting More Context When You Need It

Tools are built-in features that enhance every conversation you have in AskElephant. They're available wherever you chat1in meetings, contact records, company pages, and search.

Two main tools:

  • Web Search: Pull information from LinkedIn profiles, company websites, or recent news. Perfect for researching a prospect before a call or confirming up-to-date details about a company.
  • Internal Search: Search across all your past meetings and engagements to find relevant context. Instantly see what your team has discussed with a customer or find similar deals.

These tools work in the background to give your AI assistant richer context, resulting in better summaries and more accurate insights.

Agents: Connect Your Existing Systems

Agents are connectors that link AskElephant to the platforms your team already relies on: Salesforce, HubSpot, Monday, Linear, Asana, and Notion.

What agents do for you:

  • Pull information: Retrieve deal details, task lists, or customer history from your CRM or project management tool
  • Create and update records: Generate new opportunities, update deal stages, or mark tasks complete1all from AskElephant
  • Bring data to life: Get context you wouldn't normally have when running summaries or prepping for meetings

Common use cases:

  • Pull up the most relevant deals or opportunities before a customer meeting
  • See what tasks your team is working on for a specific account
  • Verify that documentation is current before pitching a new feature to a prospect

Workflows: Set It and Forget It

Workflows are the powerhouse of automation. Once you set them up, they run on their own, triggered by specific events.

image

How workflows work:

  1. You define a trigger (like a new meeting being added or a deal being updated)
  2. The workflow automatically runs when that trigger happens
  3. It performs tasks you've configured1gathering info, creating summaries, alerting your team

Real-world examples:

Meeting Prep: A workflow pulls recent LinkedIn information about a prospect, summarizes past meetings with them, and lists action items from your last conversation.

Sales-to-CS Handoff: When a deal closes, a workflow automatically compiles all meetings and documents, creates an intelligent summary highlighting the customer's pain points and feature priorities, and shares it with your CS team1so they start onboarding informed.

Churn Alerts: A workflow monitors for mentions of frustration or price concerns during calls and alerts you immediately.

Prompt Library: Reuse Your Best Questions

The Prompt Library is the bridge between manual work and full automation. Save the questions and requests you use regularly, then pull them up whenever you need them again.

image

Why it matters:

  • Consistency: Ask the same question the same way every time
  • Speed: No retyping. One click and your prompt is ready
  • Control: You still review the output before acting, keeping sensitive decisions (like pricing) in human hands

Think of it as your playbook of go-to questions for different situations. Use the / key in any AskElephant conversation to instantly access the Prompt Library.

Signals: Your First Line of Defense

Signals are AI monitors that watch your meetings and engagements for specific details you care about. When they detect what you've asked them to look for, they alert you.

image

You decide what to watch for maybe it's:

  • A prospect mentioning a competitor
  • A customer expressing frustration
  • Discussion of a specific feature or budget
  • Any other criteria that matters to your business

When a signal is triggered, you're notified immediately, so you can act fast.

Putting It All Together

These five capabilities tools, agents, workflows, the prompt library, and signals work as a system. Together, they transform raw meeting data into summaries, insights, and alerts tailored to your team's needs. The result? Critical information reaches the right person at the right time, so your team can focus on relationships instead of searching for context.

Next steps

  • Explore which tools and agents your team uses most.
  • Identify repetitive tasks that could benefit from a workflow.
  • Save your first prompt in the Prompt Library.
  • Set up a signal for something your team wants to track.
