This workflow automatically generates structured meeting summaries every time a new meeting is recorded in AskElephant. The summary includes key takeaways, topics discussed, next steps, and unresolved questions—all with clickable timestamp citations that link directly to the relevant moment in your meeting recording.

Key Terms

  • Workflow: An automated sequence of actions that runs when a specific event occurs (also called a "recipe" in AskElephant)

  • Trigger: The event that starts a workflow. In this case, it's the creation of a new meeting

  • Conversation: A dedicated AI chat thread in AskElephant where you can review generated content and ask follow-up questions

  • Timestamp citation: A clickable link that jumps to a specific moment in the meeting recording (e.g., [04:39])

  • Pinned conversation: A conversation that appears at the top of a meeting page for easy access

What This Workflow Does

This workflow turns raw meeting transcripts into actionable, organized summaries.

When It Runs

The workflow triggers automatically whenever a new external meeting is created in AskElephant. It only processes meetings with external attendees to avoid cluttering your workspace with internal syncs.

What Happens

  1. The workflow analyzes the meeting transcript and extracts distinct topics discussed during the call

  2. It creates a pinned conversation on the meeting page titled 📝 Meeting Summary

  3. It generates a comprehensive summary organized into the following sections:

    • Meeting Purpose: A brief overview of why the meeting happened

    • Key Takeaways: Main points and decisions

    • Topics: Detailed notes organized by discussion topic

    • Next Steps: Action items with due dates

    • Unresolved Questions: Open items that need follow-up

Every section includes timestamp citations. Click any timestamp to jump directly to that moment in the recording.

How to Set It Up

Follow these steps to enable the workflow:

Step 1: Navigate to Recipes

  • Log into AskElephant and click Automations in the left sidebar navigation.

  • In the Workflows tab click New Workflow

  • Select From Recipe

Step 2: Find the Workflow

Search for Meeting Summary - External in the recipes library.

Step 3: Enable the Workflow

  • Click the workflow

  • Select the three dots in the workflow bar

  • select Activate Workflow to turn it on for your workspace

Step 4: Adjust Trigger Settings (Optional)

  • By default, the workflow runs for external meetings only

  • Private meetings are excluded unless you change the setting

Step 5: Test the Workflow

  • Save any pending changes, then click Test in the workflow editor

  • Select a recent external meeting to see the workflow in action

  • Review the output to confirm the summary was generated correctly

Note on AI models: The workflow uses Claude Haiku for fast and efficient summaries. If you need more detailed analysis, you can edit the workflow to use a more advanced model like Claude Sonnet.
