Overview

This workflow creates an AI-powered conversation coach that analyzes meeting transcripts and delivers expert-level feedback directly in AskElephant. After each external meeting, the AI reviews the conversation, identifies pivotal moments, and provides timestamp-linked insights to help you improve communication, clarify next steps, and build stronger relationships with prospects and customers.

Key Terms

  • Workflow: An automated sequence of actions that runs when a specific event occurs (also called a "recipe")

  • Trigger: The event that starts the workflow—in this case, a new external meeting being recorded

  • Conversation: An AI chat thread in AskElephant where you interact with AI assistants and view analysis results

  • Transcript: The text record of everything said during a meeting

  • Timestamp: A clickable time reference (e.g., 14:30) that jumps you to a specific moment in the meeting recording

What This Workflow Does

This workflow automatically reviews every external meeting and generates expert coaching feedback tailored to your role and conversation type.

The Trigger

When a new external meeting is created in AskElephant (priority level 3, excluding private meetings).

The Actions

  1. Creates a pinned conversation titled 🧢 Coach and attaches it to the meeting page

  2. Attaches the meeting transcript to give the AI full context

  3. Sends a coaching prompt to the AI, which analyzes the conversation from a domain-specific expert perspective (e.g., sales coach, product strategist, customer success leader)

  4. Delivers actionable feedback including:

    • What you did well (with specific examples and timestamps)

    • Missed opportunities (with exact quotes and suggested pivots)

    • One reflective question to deepen your self-awareness

The AI identifies turning points in the conversation—moments where a different approach could have clarified needs, addressed objections, or built stronger alignment. Every piece of feedback includes a clickable timestamp so you can revisit the exact moment and see what happened.

How to Set It Up

Step 1: Navigate to Recipes

  • Log into AskElephant and click Automations in the left sidebar navigation.

  • In the Workflows tab click New Workflow

  • Select From Recipe

Step 2: Find the Workflow

Search for Coach 🧢 in the recipes library.

Step 3: Enable the Workflow

  • Click the workflow

  • Select the three dots in the workflow bar

  • select Activate Workflow to turn it on for your workspace

Step 4: Configure the Trigger (Optional)

The workflow is pre-configured to run on:

  • External meetings only (meetings with at least one external attendee)

  • Priority level 3 (standard meetings)

  • Excludes private meetings

If you want to adjust these settings (e.g., include internal meetings or change priority), click into the trigger node and modify the filters.

Step 5: Customize the AI Prompt (Optional)

The workflow includes a detailed coaching prompt designed to generate expert-level feedback. You can customize the tone, focus areas, or output format by editing the Send Message to Conversation node. For example, you might:

  • Emphasize specific skills (e.g., discovery questions, objection handling)

  • Adjust the expert persona (e.g., always coach from a sales lens)

  • Change the output structure

Step 6: Save and Test

Click Save to apply your changes. To test the workflow, select a recent external meeting and click Test in the workflow editor. The AI coach should create a new conversation on that meeting's page with tailored feedback.

Configuration Tips

  • Adjust meeting filters: If you want coaching on all meetings (including internal ones), change the trigger's Meeting Type setting to All Meetings.

  • Pin the conversation: The workflow automatically pins the coaching conversation to the top of your meeting page for easy access. You can unpin it manually if preferred.

  • Model selection: The workflow uses Claude Haiku 4.5 for fast, cost-effective analysis. If you need deeper reasoning, switch to a more advanced model like Claude Sonnet in the Send Message to Conversation node.

  • Disable for specific meeting types: If you don't want coaching on certain meeting types (e.g., one-on-ones), add a conditional node before the coaching prompt to filter those out.

Managers can review the AI's coaching feedback to quickly understand how their team is performing in calls—without listening to hours of recordings or reading full transcripts.
